Data Usage Policy

What information is being collected?

When you registered for work with Carewell Support Services Ltd (“Carewell Support Services ”), we compiled some relevant data in a file which we have held securely. The information we hold on you is:

• Your application form
• Your references
• Your PVG information
• Scans/photocopies of your ID etc that you provided
• A history of your assignments with us

How will it be used?

The purpose of collecting this information is to ensure you are suitable for the jobs we place you in and that you are paid accurately for the work you complete. Some of this information will be used by Carewell Support Services Ltd throughout your employment with us. Here is a guide to indicate how this information will most likely be used.

Phone number – Primarily work-related phone calls/texts – for booking shifts, arranging training, discussing availability, getting feedback on work etc.

Email – Primarily work-related emails – for booking shifts, sending rotas, arranging training, discussing availability, getting feedback on work etc.

Postal address – Rarely used, would normally be for payslips/P60s/spare timesheets sent to you when requested.

Bank details – Sent to our payroll provider when you start working with CSS Ltd so that they can pay you.

Qualifications/work history/references/health declaration – Used through your interview process to assess your suitability for work with Carewell Support Services.

Your ID badge (which includes your name, job title, PVG number, SSSC number and photo) may be sent to customers when you are booked for assignment with them. This information is so that they can be sure the correct person arrives on site and is sometimes necessary for their security. Your personal details will never be shared unless it is relevant.

Your name and job title will be sent on a rota to the customer you are booked to work for.

Who will it be shared with?

All of the above information is securely stored and will not be sent to a third party with the following exceptions:

Your bank details are sent to our payroll provider when you start working with CSS so that they can pay you.

Your ID badge may be sent to customers when you are booked for assignment with them. Upon a request from the below regulatory bodies, we may be obliged to share any of the information we hold on your file to local authorities, (if necessary) DBS or
Disclosure Scotland
Police Scotland

Where possible, we will advise you that they have requested your file. For any information about their processes and storage of your information, please contact them directly. Please note, Carewell Support Services Ltd may be required by law or other regulatory bodies, the police or law enforcement agencies to share personal information in the detection, prevention or prosecution of crime, tax evasion or fraud. We will ensure any arrangements for sharing personal data complies with the ICO’s statutory code of practice on data sharing.
